AI data processing: turn documents into clean data automatically

Stop paying people to type data from documents into your systems. Autozyne builds an AI pipeline that reads your invoices, receipts, forms, emails, and PDFs, extracts exactly the fields you need, and routes them straight into your accounting software, CRM, or spreadsheet. Anything the AI isn’t sure about is flagged for a person to check — so your team only handles the exceptions.

What is AI data processing?

AI data processing is using AI to read documents — invoices, receipts, forms, emails, PDFs — extract the data you need, and route it into your systems automatically. Autozyne builds a custom pipeline for your exact document types, validates every extraction, and flags anything uncertain for a person to review, so clean data flows into your accounting software, CRM, or spreadsheet. Builds start at $500, and the pipeline runs on its own once it’s live.

Someone on your team is a human data-entry machine

Every business handles documents, and somebody pays for it in hours. Invoices arrive as PDFs and someone types the line items into QuickBooks. Receipts pile up and someone enters every expense. Applications come in by email and someone copies each one into a spreadsheet. It’s the most tedious, error-prone work in the company — and it’s exactly what AI is good at.

Autozyne takes it off their plate. The documents get read automatically, the data lands in the right system, and your team steps in only when something needs a human eye.

“My team spends 20 hours a week typing invoice data into QuickBooks.”
“We process 500 receipts a month and it’s all manual.”
“Applications come in as emails and PDFs — someone enters every one.”
“Our AP person is drowning and we’re getting late-payment fees.”
“Data-entry errors cause reconciliation nightmares every month.”

How the pipeline works

Autozyne builds one automated pipeline customized to your document types. Here’s what happens to each document.

1

Documents arrive

By email, an upload portal, a watched folder, or an API — however your documents come in today.

2

AI reads and extracts

OCR handles scanned pages, and AI pulls the exact fields you defined (vendor, date, amounts, line items, and so on).

3

The data is validated

Required fields, formats, and your business rules are checked before anything moves.

4

Uncertain items go to a human

Low-confidence extractions are flagged for review instead of being trusted blindly — you only check the exceptions.

5

Clean data is routed

Verified data flows into your accounting software, CRM, spreadsheet, or database automatically.

Built once, processes thousands

Autozyne designs the extraction schema with you, builds the pipeline, tests it on your real documents, and hands over documentation and 30 days of support. Built once, it processes thousands of documents.

Documents Autozyne can process

If your team types data out of a document, a pipeline can usually read it instead. These are the most common — but anything with a consistent structure is a candidate.

Invoices → accounting

Extract vendor, date, amounts, and line items from PDF invoices straight into QuickBooks, Xero, or Sage.

Receipts → expense tracking

Pull merchant, date, amount, and category from receipt photos and PDFs into your expense system.

Forms → database / CRM

Extract every field from application, intake, and survey forms into a CRM, database, or spreadsheet.

Emails → structured data

Parse order confirmations, lead notifications, and shipping updates into clean data.

Contracts → tracking

Extract parties, dates, key terms, and renewal dates from agreements into a tracker.

Document classification

Auto-sort a mixed inbox by type and route each document to the right place.

Historical batch processing

Digitize and process a backlog or archive in bulk.

Illustrative example — fields and targets are configured to your documents and systems.

A custom extraction schema

Built for your exact document types and the fields you actually need — not a generic parser.

Validation before anything moves

Format and business-rule checks catch errors before they enter your systems.

A human-review gate

Confidence scoring routes uncertain items to a person, so nothing wrong slips through silently.

Routes into your tools

Clean data is pushed into the accounting, CRM, or database you already use.

An audit trail

Every document and extraction is logged with a confidence score.

Deployed and documented

Runs as a cloud function with no server for you to manage, plus a guide for reviewing exceptions and adding document types.

How accurate is it?

No document AI is perfect, which is exactly why every pipeline includes a human-review gate. Accuracy is typically high on clean digital documents and lower on poor-quality scans [VERIFY — ACCURACY] — but the safety net is the same regardless: anything the AI isn’t confident about is flagged for a person to check before the data is used. You get the speed of automation without trusting it blindly.

A few honest limits

AI extracts data, it doesn’t interpret meaning, and it isn’t a substitute for professional accounting or legal review. Handwriting (especially cursive) is unreliable. And as document formats change, the pipeline needs occasional tuning — which the optional management retainer covers.

On sensitive & regulated documents

Processing runs on cloud AI services with encryption in transit and at rest. Highly sensitive or regulated documents (including anything requiring HIPAA) need explicit scoping and aren’t part of the standard service.

Plans

Each pipeline is a fixed-price build, scoped to how many document types and target systems you need. Every build includes schema design, testing on your real documents, training, documentation, and 30 days of support. Ongoing management is optional after that.

Why build it with Autozyne

You check exceptions, not everything

The human-review gate means you only touch the items the AI flags — that’s the whole point.

Built for your documents

A custom extraction schema for your exact document types, not a one-size parser you fight with.

Lands in the tools you use

Data routes straight into QuickBooks, Xero, your CRM, or a spreadsheet — no new system to learn.

Fixed price, no surprises

You approve the scope and price before any build.

Honest about accuracy

No one promises 100%; Autozyne builds the review gate that makes high accuracy safe.

Reclaim real hours. Teams that automate document entry typically reclaim 15–30+ hours a week for higher-value work — your savings depend on your volume.

Frequently asked questions

How accurate is the extraction?
Accuracy is typically high on clean digital documents and lower on poor scans, and no AI is 100% accurate — which is why every pipeline flags low-confidence items for a human to review before the data is used.
Can I start with one document type and add more later?
Yes, and it’s the recommended approach — start with your highest-volume, most painful type, prove the value, then add more. Additional types are $300–$500 each.
What systems can you push data to?
Any system with an API — QuickBooks, Xero, Sage, HubSpot, Salesforce, Pipedrive, Google Sheets, Airtable, databases, and more. If a tool has no API, Autozyne can route to a Google Sheet or database as an intermediary. For building the connectors themselves, see API & Platform Integration.
How is my data handled?
Documents are processed on cloud AI services with encryption in transit and at rest, using providers that don’t train on your data. Sensitive or regulated documents need explicit scoping.
What if our document volume changes seasonally?
The pipeline scales automatically — it handles 10 documents or 10,000 without reconfiguration, and AI costs are minimal in slow months. Typical volumes (up to ~5,000 docs/month) are included in the project price.
What does it cost to run?
The pipeline itself has minimal per-run costs (typically under $10/month at moderate volume). The optional management retainer ($200/$500/$800/mo) covers ongoing accuracy monitoring and rule updates.
Does it handle handwriting?
Printed text is reliable; handwriting — especially cursive — is not, and Autozyne will tell you up front if your documents aren’t a good fit.
Is this a replacement for my accountant?
No. The service extracts and routes data; it doesn’t interpret meaning or replace professional accounting or legal review.
What do I need to provide?
10–20 sample documents per type, the fields you need extracted, access to the target system, and how documents arrive today.
How long does it take?
Most pipelines go live in 3 days to 4 weeks depending on the tier and number of document types.
